Allocating permissions for access

A T&I invitee requires the following permissions to access the T&I:

  • Access to the opportunity

  • An Altify license and an Altify Opportunity Manager license

  • An Altify Permission Set (note that an assigned Permission Set Group will not suffice)

  • A Salesforce license

If an invitee does not have any of these, they are flagged with a hover message in Altify.

Your organization can nominate a Salesforce administrator as a T&I administrator who is notified every time a user without a required license, opportunity access or permission set is invited to a T&I.

The notification includes a link to a custom page where the admin can quickly view, perform and verify the necessary tasks that will provide T&I access to the user.

Nominating a T&I admin

To nominate a user as the T&I administrator, do the following:

  1. Go to Setup and Custom Settings.

  2. Click Manage next to Altify Core Settings.

  3. Click the Edit button.

  4. Enter the Salesforce Administrator's username for the following setting: TANDI Admin Username.

  5. Click Save.

Notifications are sent to this admin's email address when a user without a required license, opportunity access or permission set is added to a T&I.

T&I administrator's tasks

The email sent to the admin contains a link to a page where the necessary tasks are listed. For each task, the admin can click a link to bring them to the relevant page in their Salesforce org.

The following are the tasks to be completed:

  1. Allocate an Altify license and/or an Opportunity Manager license to the T&I invitee named in the notification email.

  2. Assign a Permission Set to the named invitee.
    For assistance, see Manually Assigning a Permission Set to a User.

  3. Share the opportunity with the invitee.

  4. Test the invitee's access to the T&I (following the on-screen instructions).

  5. Send an email to the invitee prompting them to test their access (the T&I organizer is copied in this email).

A status of 'Completed' is shown for each task that is completed as they move down the list. (The page needs to be refreshed to see an updated version of what has been completed). In terms of licensing, the admin is informed of the license(s) required by the invitee, and the number of licenses that are available.

The T&I admin should click the Notify User once all tasks are completed and they are satisfied that the user has access to the T&I.
